What is required to attend this event? 

Verified proof of full vaccination or negative PCR COVID-19 test taken within 72 hours of entry to the event and provided no later than 24 hours before entry to the event is required. This will be verified through HEALTH PASS by CLEAR. Please note if you are checking in on Wednesday, March 16, you may take the test no earlier than Sunday, March 13 at 7:30 AM EST. The results will need to be submitted by March 15 at 7:30 AM EST. All results must be submitted through the CLEAR app. Please note that documentation cannot be accepted onsite.

NCTM encourages wearing masks when attending an NCTM in-person event except when eating, drinking or presenting.

NCTM follows the Centers for Disease Control and Prevention and local and state guidelines for health and safety at in-person events. Per the most recent guidance protocols from the CDC, counties are assessed based on multiple factors and classified by Green, Yellow, or Red.

Indianapolis is located in Marion County which is in the yellow or medium category and wearing masks indoors is not required.

People with symptoms, a positive test, or exposure to someone with COVID-19 should wear a mask and those with higher risks should consult with their medical providers. If the categorization changes, NCTM will follow the guidance which could include masks being required by all attendees.

What Is HEALTH PASS by CLEAR? 

NCTM uses HEALTH PASS by CLEAR for proof of vaccination or a negative PCR test. 

HEALTH PASS is a free service on the CLEAR app that connects your verified identity with your health insights to provide a safer, easier way back to the places and people you love. The digital vaccine card you create will sync with Health Pass for easier access to venues accepting COVID-19 vaccinations for entry. All results must be submitted through the CLEAR app. Please note that documentation cannot be accepted onsite.

What does "fully vaccinated" mean? 

CDC defines "fully vaccinated" as those who have received two doses of the Pfizer-BioNTech or Moderna shots or one of the Johnson & Johnson shots.  

In general, people are considered fully vaccinated:

  • 2 weeks after their second dose in a 2-dose series, such as the Pfizer or Moderna vaccines, or
  • 2 weeks after a single-dose vaccine, such as Johnson & Johnson’s Janssen vaccine

If you don’t meet these requirements, regardless of your age, you are NOT fully vaccinated.  

A booster dose of the COVID-19 vaccine is also strongly recommended for all persons 18 years of age and older, at least six months after completing an mRNA vaccine (Pfizer-BioNTech or Moderna) primary series or at least two months after completion of a Johnson & Johnson COVID-19 vaccine primary dose. The recent emergence of Omicron further emphasizes the importance of vaccination and boosters. 

What type of negative Covid test is required: PCR or Antigen?

NCTM requires a PCR Test (Nasal Swab) for admission to regional conferences taken within 72 hours of the event and submitted no later than 24 hours before the event. A PCR (polymerase chain reaction) COVID-19 nasal swab test looks for genetic material from the coronavirus, itself. An antigen looks for protein specific to the virus instead of genetic material. Although both tests may determine whether patients have an active coronavirus infection, the PCR tests tend to be more accurate. Please note that a PCR test may take a longer time to get results. Please note that Antigen test cannot be substituted for a PCR test. All results must be submitted through the CLEAR app. Documentation cannot be accepted onsite.

What If My PCR Test Returns a False Positive?

There can be many variables that affect COVID test results. Unfortunately, we cannot allow entry to the event if the result for the PCR test is positive for any reason.  

Can I substitute a different test for a PCR test ?

A PCR test is required for entry to the NCTM Regional Conference & Exposition. This test must be reported through the CLEAR app using one of their connected providers. We cannot accept any substitutions or alternative test methods at this time. Onsite documentation from providers outside of the CLEAR app will not be accepted. 

When will I get information for HEALTH PASS and Badge Pick Up? 

On March 7, NCTM will email detailed instructions and an event code for you to complete a health screening and obtain a QR code for expedited check-in and badge printing. You must do this a minimum of 24 hours before attending the event. 

How will HEALTH PASS work? 

Ten days before the event, NCTM will email detailed instructions and an event code to you. Once you receive this code and link, you must complete the following steps no later than 24 hours before the event.  HEALTH PASS by CLEAR will verify receipt with approval or decline. Please note this must be done at a minimum of 24 hours before the event.  

Here's how it works. 

  1. Download the free CLEAR app and create a free account using your event registration email. 

  1. Tap on the white "Health Pass" tile and enter the unique Health Passcode you will receive from NCTM tend days prior to the event. 

  1. New members will be guided through the enrollment steps of this free app. Existing members will need to ensure that the email associated with their CLEAR membership is the same as the email used for registration. 

  1. Complete your entry requirements by adding your vaccination record or linking negative test results using the patient portal or provider link. 

  1. Verify your identity by taking a selfie. 

  1. Wait for approval (note this can take up to 24 hours)  

  1. Check your registration email inbox for your NCTM QR Badge Code (note this can take up to 24 hours) 

  1. Arrive on site and proceed through the QR Badge CLEAR Express Lanes for expedited check-in and badge pick up.  

What are NCTM's onsite health and safety policies?  

NCTM's  health and safety policies will be enforced at all in-person events and are required consent as a condition of onsite participation.  

Will there be testing available onsite? 

NCTM will not have onsite testing available. We strongly recommend taking a COVID-19 test before you depart for the venue for your own peace of mind. Anyone who is feeling sick should stay home.  

How can I receive health information onsite?  

NCTM highly recommends all attendees follow the Indiana State Department of Health for emails and updates on COVID cases within the state. 

How is my information protected in CLEAR?

How do I locate my testing center and connect to the app? 

 Within Health Pass, tap "Add COVID test" in the entry requirements checklist to begin. Select your testing provider on the menu or search 'other providers'. Log in to your patient portal and follow instructions to link your account with CLEAR securely. The CLEAR app is integrated with select healthcare providers and pharmacies. CLEAR also allows you to link results using a portal. If you are unable to find a provider or unable to link a test, please contact [email protected] for a refund. Onsite documentation will not be accepted.

What Are Alternatives to The CLEAR App?

Registration check in must be completed through the CLEAR App. If you prefer not to use the app or are unable to find a provider in your area to complete testing, please contact NCTM for a refund.

What If I Cannot Find a Provider in the App?

The CLEAR app offers hundreds of lab and pharmacy opportunities through the API portal. Please see the  attached step-by-step instructions with screenshots which may be helpful in your search. We are unable to accept vaccination or negative test result validation outside of the CLEAR app.

What if I’m an international attendee and my vaccination card is not recognized?

If you are located outside the U.S. and would like to upload your COVID-19 vaccination status, choose the “SMART Health QR Code” option. See below for an example.
